Where an Epos system isn't able to support the posting of casual, non-resident sales to Caterbook or doesn't interface with Caterbook at all, it's possible for properties to manually add their Epos Z-read totals onto the Caterbook End of Day report. This means that all figures can also be posted to the Xero Chart of Accounts from Caterbook on one invoice where properties are using our Xero integration.
In order to add the Z-read totals to the End of day report, Reporting Departments eg Food Sales, Drink Sales etc and Payment types eg Cash, Card etc need to be configured.
Advanced reporting would first need to be activated on your account. Simply contact Caterbook support to request this free add on by raising a support ticket, via our live chat portal or by calling us on 01840 298 298 (option 2).
From the Settings sub-menu, select Property > Property list and then click the link icon next to the property name.
Select the Reporting tab at the top of the property settings.
Click the blue link icon next to the Use Z-read option and toggle the setting to On then click the blue Save button.
Next go to the EPOS Config tab and use the Add new button to add your Epos Payment types, copying the Payment ID and Payment name found on your Epos system. If you're not sure where to find this, your Epos dealer will be able to advise.
From the same screen, select Categories from the drop-down list of options and use the Add new button to add your Epos Departments and their corresponding Department IDs.
Under the Finance sub-menu, you will now see a new menu item Z-read (if you aren't able to see this option you will need to log out of the account and back in again).
The screen will default to today's date and you are able to input your Z-read figures for each Department and Payment type total for the day. To add your Z-read totals for a different date, simply change this by clicking the Calendar icon to pick the date in question.
When you run the End of day report, you'll see the Z-read figures for Non-residential sales, along with accommodation, extras and Caterbook payments.
