The Occupancy reports can be found under the Reports menu.
There are three Occupancy reports - Property Summary, By Room Type and Rate plan & By Room - each one on it's own tab.
NB: You should click "Search" on each page of the report whenever you change the date range to ensure accurate results.
The reports will default to the last month's worth of data, however, you can set your own specified date range, using the Calendar icons to select.
Each of the reports can be exported separately as a PDF by clicking the yellow button in the top right hand corner.
Note :
Setting the Maintenance status for a room on the Calendar will mean that the room does not count as an Available night in the occupancy calculations. Instead of calculating occupancy as 5 / 10 rooms, it would be 5 / 9.
Setting the Unavailable status for a room on the Calendar has no impact on this report. Why? This gives properties an alternative way of managing their calendar without affecting their occupancy statistics. For example, a 10 room property with 5 rooms booked might take the decision that they want to accept no further bookings today, yet still preserve the 50% occupancy record for the property on this date. This can be achieved by setting the rooms as Unavailable.
1. Property Summary
The summary report displays a summary of occupancy statistics for the specified date range, including the number of available and actual Booked Nights. The total number of bookings for the period. An overall occupancy percentage, which is broken down into Sunday-Thursday vs Friday & Saturday and the average length of stay (in nights).
The lower section shows the number of 1, 2, 3, 4 and 5+ night stays for the period and these totals as a percentage.
Finally, you can view the total room revenue and extras revenue - inclusive and exclusive of VAT, as well as the actual VAT amount. The last two rows, display the average daily rate and the RevPAR (Revenue per available room) figure, both inclusive and exclusive of VAT.
"RevPAR, or revenue per available room, is a performance metric in the hotel industry that is calculated by dividing a hotel's total guestroom revenue by the room count and the number of days in the period being measured".
2. By Room Type and Rate Plan
The second report gives Room Type and Rate Plan occupancy statistics in both figures and graphical formats.
In the top section, you'll find the total booked nights for each room type, as well as Vacant nights, both as a figure and percentage. The other three columns show the total number of bookings, total revenue and the average length of stay per room type respectively.
Below this data, you'll find the same information in graphical format, with each room type displayed as a percentage of a pie-chart. A key to the right of each chart indicates the colour coding for each room type and gives the percentage figure for each one.
The bottom section of the report gives the exact same information as the room types but per rate plan.
3. By Room
The third report allows you to see the occupancy figures per individual room, listing the number of available nights, booked nights and percentage, as well as the revenue for the specified date range.

N.B. It's important to note that no zero value bookings are included on the report, as these are classed as staff/enquiry bookings.
