We have made some significant changes to the Finance tab of the Booking record to simplify managing payments for larger group bookings with multiple named guests, but we hope these will impact positively on all users of these screens.
Payments / Add new.
The biggest change is that the position of the "Purpose" and "Type" boxes has been switched to give a more logical "left to right, top to bottom" flow, like reading the page of a book.
1. Pick the guest under Paid by, 2. Choose the Purpose (Deposit, Balance, Refund), 3. Select the payment Type (Caterpay Sale, rebill, refund etc) and then 4. Add the Amount.
Where multiple cards have been verified or charged in a booking, previously every card was displayed on rebill.
Caterbook will now only show the card(s) associated with the guest selected under Paid by.
Any tokenised cards are not always associated with a named guest, for example a Virtual Card in the "name" of Expedia etc. So for this reason the Verify token or Charge token method is displayed to all guests initially.
A token is only able to be used once, and then is replaced by the rebill method and will be then tagged to the guest who is associated with that Verify / Charge token transaction.
Where multiple payments have been made and you need to issue a refund, previously every payment was shown as being able to be refunded under every guest - even ones who hadn't actually paid anything.
Now, Caterbook will only show the transactions associated with the guest selected under Paid by for refunding.
Where you are adding a payment to an existing invoice, the name of the invoiced guest has been added alongside the internal invoice reference to make it clearer.
Invoices / Add invoice.
We have now cleaned up the Payments section of the Add invoice screen by removing any entries which have no monetary value; Card tokenisations, Card/token verifications and any failed transactions.
The date column has been widened to fit on a single line, rather than two.
A new column showing the person who made the payment has been added to make it easier to know what to add to the invoice you are creating.
