The Events and Functions module has two function spaces by default, although more can be added on request. These spaces can be configured from Inventory / Function rooms on the menu. The following describes each heading on this screen.
The full name of the function space.
The short name may need to include a number if your EPOS system can only post to numbered rooms. You might use something outside the range of your accommodation room numbers like 'shires99' for this purpose.
Later this year we will be reworking our web booking engine to enable properties to take enquiries for functions, and this text will form the description used on the relevant page.
Each function space will have a maximum allowed number of people according to the prevailing regulations in place at the time. If someone tries to book for more attendees Caterbook will warn, but it will not prevent you from adding more than the capacity set here.
Where a property has multiple function spaces, this sets the order on the Calendar and other screens.
This is a suggested 'room hire' fee, and is entirely optional.
A function room with an 'Active' status is able to be booked.
Select from the existing configured VAT rates in Caterbook.
Activating the Functions module also activates a new Cost centre, which you can use for revenue reporting. You can change this if you wish.
Some spaces might not be available to be booked for every day of the week. Caterbook will warn, but will not prevent bookings on days not defined here.
