From the Dashboard, click the Book Now button in the top right corner OR from the Booking menu, click New booking.
Set the booking date, by clicking the calendar icons in the From and To date fields. Add the number of guests and any other optional parameters such as Bedding Type, Rate Plan, Corporate Booker, Promo Code and then click the blue Search button.
Tick to select the required Room type(s) and Rate Plan and set the number of rooms required. Click the Add to Booking button.
If you wish to add more rooms for a different date range, repeat the process above selecting the required dates. Once the rooms have been added to the booking they will appear in the section at the bottom of the screen. Rooms will be allocated in order of your room mapping sequence, however these can be changed if required by clicking the room number and selecting from the list of available rooms. Likewise the rate plan can be changed from the dropdown menu, as well as the number of guests per room.
The price will be pulled from the Price plan for the room type and date, however this can also be changed at this stage if you wish to charge a different amount.
If you need to remove a room from the selection tick the check-box to the left-hand side of the room line and click the blue Remove checked rooms button. Click the orange Next button to proceed.
Add the lead guest details and allocate to a room number on the Guests tab and click the orange Next button to continue. (Guest details can be added for all of the rooms at this stage, if required, by clicking the Add new button on the Guests tab to add in more details and allocate to a room number).
The Extras tab allows you to add additional booking extras such as travel cots, dog charges etc to the Whole Booking or to individual rooms so that guests can be invoiced for items separately if required.
Finally on the Finance tab, a deposit payment can be taken through Caterpay (or recorded as having been taken via a different source) or alternatively, card details can be stored and verified as security against the booking.
Once the booking has been completed a Group colour option will become available in the booking record. This allows you to allocate a coloured band to help clearly identify the group booking on the Calendar.
