The Calendar in Caterbook can be used for entering simple one-room bookings. It bypasses the Extras screen and a booking can also be made without adding a deposit or verifying card details.
From the Booking menu, click Calendar.
Use the date picker in the top right to navigate to the required arrival date.
For larger properties, it's possible to filter the calendar in the top left-hand corner to show only rooms mapped to specific room type(s).
Click and drag from left to right on the room row you want to put the booking in.
The Room tab, will display the suggested pricing for 1 adult and where occupancy based pricing is set, the price will change automatically where more guests are added. Where a property has more than one Rate plan, the first in the rate order sequence will appear by default (you can change the order in which they appear). Switching to a different rate plan will automatically change the suggested price. The Total price can be manually changed by back-spacing and typing the required price. Where a room is mapped to multiple Room types eg. a double or a twin, the first in the room order sequence will appear by default (you can change the order in which they appear). Switching to a different room type will automatically change the suggested price where applicable.
On the Guests tab, you can Search the customer database by typing a surname, email address or telephone number. Clicking the entry from the list of presented matches will autofill the guest fields. If this is a new guest then details can be manually added and they can be opted into any future correspondence by clicking the Subscribed to newsletter check box. If you wish to make the booking without adding a deposit payment or verifying and storing card details, simply click the Book button. To move on to the Payments tab click the Next button.
If a deposit rule is set for the booked rate plan then the deposit amount to be taken will be auto-filled, although this can be changed by back-spacing and manually adding an alternative amount. If the deposit is to be processed via Caterpay, then the Caterpay - Sale option can be selected to charge the guest's card and store the details at the same time. Click the blue Book button to proceed to the payment gateway window.
If the payment is taken via another means, the method can simply be recorded from the Payment type dropdown list.
If card details are required to secure the booking instead of a deposit, then the amount will automatically be set as £0.00. Selecting the Caterpay - Verify option and then clicking the blue Book button will open the payment gateway window where card details can be entered and verified.
Once the booking is made and any payments/verifications have been successfully processed you'll automatically be redirected back to the Calendar, where the booking will be highlighted.
